1. Who We Are

We operate EstateAigents.com as a software platform that provides AI-assisted tools for property professionals ā including letting agents, estate agents, landlords, and property managers ā and the people they serve.
We are a software company. We are not a letting agent, estate agent, surveyor, solicitor, or financial adviser. We are not party to any tenancy agreement, sale, or transaction between users of our platform.
2. What These Terms Cover
These Terms of Service ("Terms") govern your access to and use of our website, applications, APIs, and related services (collectively, the "Service"). By accessing or using the Service, you agree to be bound by these Terms.
These Terms apply to all users of the Service, including anonymous visitors, registered users, and subscribers acting on behalf of an organisation. Additional terms may apply to paying customers under a separate Subscription Agreement.
If you do not agree to these Terms, you must not use the Service.
3. What the Service Is (and Is Not)
We provide a software platform that helps property professionals manage their workflow with AI-assisted tools. The Service may include features such as:
- Listings management and presentation
- Communications routing across email, SMS, and messaging channels
- AI-assisted drafting, summarisation, and triage of communications
- Document storage, classification, and retrieval
- Reporting and analytics
What we are not:
- A party to any tenancy agreement, sale, or transaction between users
- A regulated estate agent, letting agent, surveyor, solicitor, or financial adviser
- Responsible for the accuracy or completeness of content submitted by you or other users
- A guarantor of any user's obligations to a third party
- A provider of legal, financial, tax, or property advice ā outputs produced by AI features are informational only and must be reviewed by a qualified human before being acted on
You are responsible for using the Service in compliance with the laws and professional obligations that apply to your role.
4. Eligibility
To use the Service, you must:
- Be at least 18 years old
- Have the legal capacity to enter into a contract
- Provide accurate and truthful information when registering or using the Service
- Not be prohibited by any applicable law from entering into these Terms
If you use the Service on behalf of an organisation, you confirm you have authority to bind that organisation to these Terms.
5. Account Registration
To access certain features, you must register for an account. When registering, you agree to:
- Provide accurate, complete, and current information
- Maintain the security of your password and account credentials
- Notify us immediately of any unauthorised access at admin@estateaigents.com
- Accept responsibility for all activity that occurs under your account
We reserve the right to suspend or terminate accounts that violate these Terms, provide false information, or engage in prohibited conduct (see Section 6).
6. Acceptable Use
You agree not to use the Service to:
- Post false, misleading, or fraudulent content
- Impersonate any person, organisation, or agent
- Harass, threaten, or abuse other users or our staff
- Attempt to gain unauthorised access to any part of the Service or our systems
- Scrape, crawl, or extract data from the Service using automated tools without our express written permission
- Circumvent, disable, or interfere with security features of the Service
- Reverse-engineer, decompile, or attempt to derive the source code of our software except as permitted by law
- Train, fine-tune, or evaluate any machine-learning model on outputs of the Service without our express written permission
- Violate any applicable law, including the Fraud Act 2006, Computer Misuse Act 1990, Equality Act 2010, UK GDPR, or any law that applies to your professional activities
- Use the Service for any unlawful purpose, including money laundering or financial crime
We reserve the right to remove content and suspend or terminate accounts that violate this section without notice.
7. Your Content
Ownership. You retain ownership of all content you submit to the Service ("Your Content").
Licence. You grant us a non-exclusive, royalty-free, worldwide licence to host, store, transmit, display, reproduce, and process Your Content for the purpose of operating, securing, and improving the Service. Where you submit Your Content for AI processing, you authorise us to pass it through our AI sub-processors (see our Privacy Policy) for that purpose.
Your responsibilities. You confirm that you have the right to grant this licence and that Your Content does not infringe any third party's rights, breach any duty of confidence, or violate any applicable law.
Removal. We may remove or restrict access to Your Content if we reasonably believe it violates these Terms or applicable law.
8. AI-Assisted Features
Some features of the Service produce or summarise content using large language models (LLMs) and other machine-learning systems ("AI Output"). AI Output is generated automatically and may be inaccurate, incomplete, or unsuitable for your particular circumstances.
You agree:
- Not to rely on AI Output as a substitute for professional advice
- To review AI Output before sending, signing, or otherwise acting on it
- That you are solely responsible for any decision you make on the basis of AI Output
We do not warrant that AI Output is accurate, current, or fit for any particular purpose.
9. Fees and Subscriptions
Fees for paid plans are set out on our website or in your Subscription Agreement and are payable in advance. Unless stated otherwise, fees are exclusive of VAT and similar taxes, which will be added at the prevailing rate.
Trial users may use the Service free of charge for the trial period stated at sign-up. After the trial expires, continued access requires a paid subscription.
We may change our fees on 30 days' notice. If you do not accept the new fees, you may cancel your subscription before they take effect.
Payments are processed by our payment provider Stripe. By providing payment details, you authorise us and Stripe to charge the applicable fees.
10. Intellectual Property
Our content. The design, layout, text, graphics, logos, software, and AI prompts and tooling of the Service are owned by or licensed to EstateAigents.com Ltd and are protected by UK copyright, trade mark, database right, and other intellectual property laws. You may not reproduce, distribute, or create derivative works from our content without our express written permission.
Feedback. Any feedback, suggestions, or ideas you submit regarding the Service may be used by us freely without obligation to you.
11. Third-Party Services and Integrations
The Service may contain links to or integrate with third-party websites and services (including payment, communications, mapping, AI, hosting, and storage providers). Those third parties act as independent providers under their own terms and privacy policies.
When you click a third-party link or enable a third-party integration, you leave or extend our Service and your use of that third party is governed by their own terms and privacy policy. See our Privacy Policy for the list of sub-processors we engage to deliver the Service.
12. Service Availability
We aim to keep the Service available, but we do not guarantee uninterrupted access. We may need to perform maintenance, apply security updates, or make changes to the Service from time to time. We will give you reasonable notice of any planned outage that materially affects you, where practicable.
13. Limitation of Liability
Excluded losses. To the maximum extent permitted by law, we are not liable for:
- Loss of profit, revenue, business, or anticipated savings
- Loss of data or goodwill
- Indirect, consequential, or special loss
- Any loss arising from your reliance on AI Output or content submitted by another user
- Any loss arising from a dispute between you and a third party (including any party to a tenancy or sale)
Cap. Subject to the next paragraph, our total liability to you in any 12-month period for any claim arising out of or in connection with these Terms or your use of the Service is limited to the greater of: (a) £100, or (b) the total fees paid by you to us in that 12-month period.
Consumer rights. Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any liability that cannot be excluded under English law, including rights under the Consumer Rights Act 2015 where applicable.
14. Privacy and Data Protection
Your use of the Service is subject to our Privacy Policy and Cookie Policy, which are incorporated into these Terms by reference.
We are registered with the Information Commissioner's Office (ICO) under Registration No. Z2884897. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

15. Changes to These Terms
We may update these Terms from time to time to reflect changes in law, regulation, or our business practices. When we make material changes, we will:
- Update the "Last updated" date at the top of this page
- Notify registered users by email at least 14 days before the changes take effect
Your continued use of the Service after that date constitutes acceptance of the revised Terms. If you do not accept the revised Terms, you must stop using the Service.
16. Suspension and Termination
Your right to close your account. You may close your account at any time from within the Service or by contacting us at admin@estateaigents.com.
Our right to suspend or terminate. We may suspend or terminate your access to the Service immediately, without notice, if you breach these Terms, engage in fraudulent activity, or if we are required to do so by law. We may also terminate the Service on reasonable notice if we cease to operate it.
Effect of termination. On termination, your right to use the Service ceases. Sections that by their nature should survive termination (including Sections 7, 10, 13, and 17) remain in force.
17. Governing Law and Jurisdiction
These Terms are governed by the law of England and Wales. Any dispute arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where you are a consumer and applicable law gives you the right to bring proceedings in another jurisdiction.
